Your mail is yours.

VectaMail is an email app made by Nikklab Inc (“we”, “us”). This policy covers the VectaMail apps, the services behind them and this website. If you have a question about it, write to support@vectamail.com.

We collect only what the app needs to work:

• Your account — your name, email address and the identifier from the service you sign in with (Apple or Google).
• The email accounts you connect — Gmail and Outlook connect through Google's and Microsoft's own sign-in, so we receive an access token, never your password. For other providers (such as iCloud or Yahoo) you give us the server details and an app password so we can connect over IMAP and SMTP.
• Your email — message details such as sender, recipients, subject, date, folders and labels, a short preview, and the messages themselves when a feature needs them (for example to sort or summarise a thread). Drafts and scheduled emails you write in VectaMail are kept so they can sync and send on time.
• Your calendar — calendars and events from Google Calendar, and the events you create or change in the app.
• What you create — tasks, projects, notes, contacts, signatures and your settings, so they sync between your devices.
• Device and diagnostics — a push-notification token, your subscription status, and crash reports that help us fix bugs.

We use your information only to run VectaMail for you:

• to show, send, organise and sync your email, calendar and notes;
• to sort each new email into one of ten categories — such as Needs Reply, Receipts and Newsletters — so you can see what matters;
• to summarise threads and help you write;
• to send you notifications about new mail;
• to keep the service secure, fix problems and answer support requests.

We don't use your email for advertising, and we don't use it to build profiles of you. We don't use the content of your email to train AI models.

Some features use AI models to work with your email and notes:

• Sorting into categories — each new email is categorised automatically, using a model that runs on our own servers together with an AI model from TypeSafe.
• Summaries, Write with AI and tone rewrite — in email and in notes, these use models from OpenAI.

Outside models are reached through OpenRouter. We send them only the content needed for the task, they use it only to return a result to us, and they do not use your data to train AI models.

Your data is encrypted on our servers and whenever it travels between your device, our servers and your email provider. Passwords and access tokens for your connected accounts get an extra layer of encryption (AES-256) of their own. Our servers run on Amazon Web Services in Canada, and access to them is restricted to the people who need it to run the service.

We never sell your data, and we don't share it with advertisers or data brokers. We share it only with the providers that help us run VectaMail, and only for that purpose:

We may also disclose information if the law requires it, to protect the safety of our users, or as part of a merger or sale of the business — in which case this policy continues to apply to it.

VectaMail's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Gmail and Google Calendar data only to provide the features you see in VectaMail; we don't use it for advertising, sell it, or let people read it except with your permission, for security, or where the law requires.

• Disconnect an account in the app at any time, or revoke VectaMail's access from your Google or Microsoft account settings.
• Turn off notifications in the app or in iOS Settings.
• Delete your account in Settings › Profile › Delete Account. Your account, connected mailboxes and calendars are removed from our servers.
• Ask us for a copy of your data, to correct it, or to delete anything else we hold, by writing to support@vectamail.com. We reply within 30 days.

VectaMail isn't meant for children under 13, and we don't knowingly collect their information. If you believe a child has given us information, contact us and we'll delete it.

If we change this policy we'll update the date at the top, and we'll tell you in the app before any change that affects how your data is used takes effect.
